Patient portal

What it is, and what you do not need to switch on

The patient portal is not a marketplace tool: it comes with Alchely, including on the free plan. There is nothing to adopt.

What is optional is opening it. The portal does not switch itself on: you open it, patient by patient, when the therapeutic moment calls for it. Until then your patient has no account and receives nothing.

Inviting the patient

Patient file → Patient portal → Invite

1. Check the file has a contact email. Without one there is no way to invite.
2. Press Invite. An invitation link is sent to that address.
3. Your patient opens the link, chooses their password and signs in. From then on the account is theirs.
4. If they lose the password they recover it themselves from Forgot your password? on the sign-in screen: you do not have to step in.

The invitation is tied to that patient and that address. Until they accept it, the file shows the invitation status so you know whether they ever got in.

Consent

Their portal → Consent

It is the first thing asked of them. AI-usage consent lives here, and without it Augmented Memory analyses nothing and an AlchelyMeeting session does not record.

• They see the current document and accept it from the portal itself.
• They can revoke it whenever they want, without asking you.
• A history of acceptances and revocations is kept, with dates.
• If you prefer consent signed on paper, they can upload the scanned document and it is stored with the rest.

Agreements

Their portal → Agreements

The agreements that come out of a session — what they take away to work on between one and the next — stay visible to both parties. Your patient sees them, marks them done, and that mark reaches you.

It is the difference between an agreement that exists only in your note and one both people remember the same way.

Diary

Their portal → Diary

A space of their own to write between sessions: what happened, what they noticed, what they want to bring to the next one.

• They write, edit and delete their own entries.
• You read them from their file, and can reply to a specific entry.
• The exchange stays alongside the rest of their history, not in a separate chat you have to go looking for.

Their sessions

Their portal → Home shows their next session and the recent ones.

For each session they see the title, the date, the therapy type and whether it is individual or a couple session. Nothing else.

Booking a session

Requires Scheduler adopted and Patient booking switched on in Scheduler settings → Schedule.

• They see your free slots, never who you are busy with or why.
• They pick a day and time and confirm; they get the email with the link or the space.
• Alchely sets the platform from what you have connected — they do not choose it.
• They can only book with you, and never a couple session.

No more back and forth just to settle an hour. You can switch it off whenever you like and go back to booking yourself.

Payments

Requires Payments adopted. Until you have it, the section does not exist in their portal.

• They see their pending, paid and cancelled payments. Not the drafts: those are yours until you send them.
• The pay button appears only while the charge is pending.
• No downloadable document: the invoice is something you provide from your own software.
• They switch on WhatsApp reminders here, entering their number with the international prefix. They turn it on, not you.

Their data

They can review the data you hold about them and export it. That is the GDPR right of access and portability handled without you preparing anything by hand.
